Art and Antique Organizer

Art and Antique Organizer Deluxe 2.0 is a product of PrimaSoft PC, Inc. at PO Box 456, Surry, BC V3T 5B7, Canada. An earlier version was reviewed in the May 2001 issue of M.A.D. The changes are revolutionary--more information categories, greater ease of use, better picture handling, and more awareness of the on-line world.

The main screen has the usual menu and tool bar across the top, although either can be hidden. The left side displays item names. Buttons from A to Z allow quick access if the user chooses item names carefully. A password can be required for program access.

When an item is selected on the left, details regarding the item are displayed on the right. Normally a page of general information such as catalog number, acquisition date, artist, year, medium, and style is shown, but thumb tabs can be clicked to show additional pages of details, financial information, appraisals and insurance, documentation, and pictures. Up to two pictures per item can be stored in the database, but there are provisions to link to additional pictures stored elsewhere in the computer. There are fields in which Web site URLs related to the item can be stored.

Some of the entry data fields are drop-down lists, so entries can be selected rather than typed. This saves time and reduces error. Other fields allow extensive text entries. The name of any field and the contents of drop-down lists can be easily changed by the user.

Multiple databases can be created and maintained. A program called "Designer" is supplied to set them up. The field titling is so flexible that additional databases can serve almost any purpose, from a phone list to a golf tournament organizer. Once the basic database has been purchased, the user can go on line and download free templates for several hundred pre- designed databases. Some, including a contact manager, are included in the basic purchase.

Reports listing selected items with any desired detailed information can be printed easily. Reports in HTML format suitable for a Web page can also be created. The database can be searched in many ways. Filters can be set up to temporarily display only selected kinds of items.

PrimaSoft includes a link to a firm that will store a copy of a database on line. This could be useful as backup or it could allow others authorized by the user to use the database. Pricing is complex but starts at US$30 per month for a small noncommercial database.

Art and Antiques Organizer is based on the Borland Database Engine, a proven and reliable system. The product works well and without glitches. The Help file is a bit brief, but an excellent written manual in Microsoft Word format is included as a file. The software runs under Windows 95, 98, ME, 2000, NT, or XP.

A copy may be purchased on line (www.primasoft.com) for US$65 if you download the available 4.2-megabyte free trial version first. A CD version by mail is an extra US$3.
