This topic explains:

Handy Equipment/Tool Manager let's you track different items: unique items, inventory items, and consumable items.



Unique Items

  • equipment items, tracked individually, each item has a unique identification number (barcode), example: computers, cameras, printers / routers, drills, grinders, miter saws / cars,
  • each item has a unique identification number (barcode), created automatically by the program or entered by the administrator
  • unique items you can check in and check out
  • select unique item manually from the list or use a barcode scanner and a barcode label
  • unique items have quantity 1 assigned automatically by the program
  • you can reserve unique items
  • you can have one main item entry and then many copies of the same item, each copy of the same item will be tracked individually (example: enter all general information about Hewlett Packard Desktop computer (title, supplier, model, price, if you have 6 computers, create 6 copies under the main item entry, each copy will let you enter specific information about each, example barcode number, serial number, copy notes)

Inventory Items

  • items that are hard to track individually, quantity of items is tracked, there are many the same items, example: hammers, screwdrivers, wrenches, hand saws, clamps, chisels, (not expensive, stored in large quantities, are hard to track individually)
  • one barcode number is assigned
  • quantities of inventory items are checked out and checked in
  • select inventory item manually from the list or use barcode scanner and barcode label (all copies of the same inventory item have the same barcode number, if you have 20 2KG-Hammers, all will have the same barcode number) quantities are maintained with the increase/decrease quantity feature

Consumable Items

  • items that are consumed, quantity of item is tracked, example: gloves, dust masks, screws, blades, paint, wood, building materials,
  • quantities of consumable items are checked out (items not consumed could be returned)
  • select consumable items manually from the list or use barcode scanner and barcode label (all copies of the same consumable item have the same barcode number, if you have 100 Rubber Gloves X, all will have the same barcode number)
  • quantities are maintained with the increase/decrease quantity feature

Questions:
Your help files describe the "Kits" feature. What about "Pools"? Do you have a feature where a number of the same (make/model/type) items (eg. 100 chairs), can be recorded as a single entry, but where the system will nevertheless keep count of how many are available to loan out? For example, if 20 chairs of a pool of 100 chairs are currently out on loan, the system must display that 80 are currently still available.

Use INVENTORY type to enter this type of items.
