Question/Topic: How to get a report on loaned out (not returned) item?

Q: I need to run a report that shows who has what loaned out, when it is due etc. Can you please help me setup this report?

Q: I like to print all loans taken by employee, and I like to check what they returned and what they still have to return. I like to know who has what tools and how many at this time.

Q: We have a data base of equipment and of borrowers, how do I produce a report that shows which borrower has been loaned a particular piece of equipment?

Q: Is there a way to see a list of everything that is checked out? Or a way to see everything that a specific employee has checked out?

You can view or print report on loaned out items in two ways:

1. Load Items(tools, equipment) database and use Manage Loans window:

  • Open Manage Loans window: A: click on the Manage Loans button; B: click Loans/Returns menu and select Manage Loans command; C: click with the right mouse button on the Loan (CheckInOut) field, select Manage Loans.
  • In the Show section select All, Outstanding, or Overdue (2).
  • The table will display items accordingly.
  • To print a report click Print.

2. Load Loans database and use Print Report:

  • On the File menu, click Load Database.
  • In the Available Databases box click (select) Loan.
  • Click Load.

  • Sort records by LoanedTo data field, you will be able to print a report grouped by employee or job site.
  • Click with the right mouse button on the Sort button, click Primary Sort Field, select LoanedTo.

  • On the Print menu, click All Records, and then click Print Standard Report.
  • Print Report window: define options for your report: select data fields, define column width, select group by data field (LoanedTo).
  • Click Preview to review your report setting.
  • Click Print to print the report.
  • If you think you may want to use this report in the future save the report as a Report Template by clicking on the Save button. Later you can reuse the saved report by clicking on the Load button.

3. How to create report: "items loaned, not returned":

  • DEFINE FILTER:
  • On the Advanced menu, click Filter.
  • In the Set Filter window select ReturnDate and click Add.
  • In the Filter For ReturnDate window select "Is Empty".
  • Click Ok, and Click Apply.
  • GO BACK TO 2. and use the same print report instructions.

Q:  Equipment/Tool Organizer Pro: I have created an Employee Database and want to be able to go to a certain employee, print his/her record and have the printed record show all the equipment that is being Loaned to him/her. How can I do this?
