Question/Topic: How to create bar code entries for existing records?

Manual creation of the bar code entries for a large number of records could be time consuming. To speed up this process you can use Replace / Create Bar Codes functions.


You can create book identification numbers that will be represented by a barcode. Examples of the library material identification numbers:

  • Only numbers, e.g.: 0001,0002,..,1999 (only numbers)
  • Numbers and letters, e.g.: LN0001,LN0002,..,LN1999 (LN: the first letters of your library name, and then numbers)
  • Numbers and letters, e.g.: LN-G-0001,..,LN-G-0100,..,LN-S-0001,..,LN-S-0234,.. (LN: the first letters of your library name; G, S,.. the first letters of category name e.g.: General, Science,..; and then numbers)(Note: in this case you will have to define filter for each category and then generate numbers)

Your barcodes could include numbers and/or characters. Bar code entries have to be unique. We suggest to use simple numerical values. If you library has about 2000 books, you can use values from 0001 to 2000. If you library has about 10,000 books, you can use values from 00001 to 10000.

  • On the File menu, click Load Database. Select Library database and click Load.
  • On the Search menu, click Replace. Select Create Bar Codes in the Replace Mode section. Select BARCODE in the Field To Be Replaced box.
  • Define barcode options: Start From:  enter 1 in the Start From box (or enter your start number). Scope: select First Record in the Start Replacing From section. Text Prefix: enter Text Prefix(optional). Barcode Length: enter the maximum length of your barcode (all barcodes should have the same length, example: 001001, 001002,..,009999 length is 6).

The above setup will create the following entries: 001001, 001002, 001003, .. , 002222, ..

Optional: select Skip Existing Barcodes option if you want to create barcode values for records that do not have any value in the BARCODE data field. Be careful, check your existing barcode numbers so you will not create duplicate barcode numbers. Example: if your largest existing barcode number is 002345, then enter 2346 into Start From box and enter 6 into Barcode Length box.
